This document will walk an administrator through setting up your organization’s giving
Login to the OSV Hub
- If you already had an OSV Hub account, you will log in and will see the new option for Giving
- If you are new to the OSV Hub, a new user invitation will be sent to your email address. Click the link in the email and create your password.
Once you log in to the OSV Hub, your screen will look similar to the below. You will not have any funds set-up if this is the first time you are logging into the Giving.
Click View Online Giving in the Online Giving Card or click on Giving on the left-hand side of the screen.
If this is the first time you are logging in, you should see the below image. Click on the Let’s Get Started button.
You should then be prompted to Setup your online giving Funds. Click on Setup Funds.
Adding First Fund
Fund Name in this initial walkthrough Offertory is suggested but it can be changed. This is the name that the donors will see for the fund. If you are using PDS for your Church Management Software, this needs to be the Activity Name to be able to import into your system.
Fund Number is a fund number from your Church Management Software. This only needs to be completed if you are going to import your file into your software.
Yes – This can only be yes for one fund. This will place this fund at the top of the donor’s screen and will be outlined in purple. Will also appear in regular fund list.
No – Fund will just appear in the funds list just as all other collections not selected as featured.
Description is the location that you can describe the fund. You can format this text and add links.
Scheduled Fund Start Date is where you can check and enter a date if you want the fund to turn on in the future. If you want the fund to be available right away, you will not check this box.
Scheduled Fund End Date is where you can check and enter a date if you want the fund to turn off in the future. The donor’s donations will not process as of the selected date.
Accepted Payment Types will allow you to set the forms of payment that you will accept for this fund. You will only have the options that you are approved to accept by the processor.
Bank & Credit Card – Checking, Savings and Credit Cards
Bank – Checking and Savings Only
Credit Card – Credit Cards Only. American Express transactions are able to be restricted on all credit card transactions
Suggested Gift Amounts give you the option of adding up to 12 pre-defined gift amounts to any fund to aid donor’s in selecting a specific amount if it is appropriate for that fund. They will always have the ability to enter their own amount as well.
Gift Notes will allow a donor to create a note on any gift to this fund. Selecting the box to Allow donors to create notes on a gift will reveal the optional fields Label for Notes and Notes Placeholder.
Tax Deductible is checked be default. If you a fund should not be tax deductible, unselect this box.
Upload Fund Image will allow you to add an image to the Fund. You can drag and drop an image in the box or click in the box to locate the image. If you would like additional resources for images, select the Click here link. If you choose not to add an image, a default image will load. Images must be owned by your organization or you must have the rights to use the image. By loading the image, you state that you own or otherwise control all the rights to the image.
Once you have all information entered as needed, click Review Fund.
If fund looks the way you want it to, click Complete Fund. If you want to make a change to the fund, click Edit Fund.
Your Fund is now either scheduled or live. If you do not want the fund Live, select the Set To Draft button. You will now find the URL to promote this fund. You can copy the link and open it in a new tab to see how the fund will appear to donors. You can also share this URL on your website to highlight this specific fund for an event or special collection.
Click Back to Funds to return to setup and click the Complete button on Funds to see the Giving Settings.
** Please note that if at any time during set-up, you leave the set-up, you will not be able to preview fund. **
To see and change your Giving settings, select Configure Settings.
Organization Settings allow you to add or update changes to your overall organization in the HUB.
Upload a Logo for your organization by Clicking in the Upload Logo box. You will then be able to drag and drop a photo or select a photo from your local files.
Click the kebab in the right corner to change the Name, Contact Info or Primary Address of your organization.
Online Giving Settings
Online Giving Settings allows you to change and view the overall settings that will impact your donors.
Click the kebab in the right corner to Edit Giving Settings, Edit Offset Processing Costs or to Change Public Fund Layout.
Edit Giving Settings will allow you to add a Giving Email, Enable/Disable American Express and Enable/Disable the External ID Field.
The Giving Email will show near the church logo on all pages the donor sees and will also be the reply to email on all notifications sent to donors on behalf of the church. If the organization is using Forms, this email will be displayed on all Form pages as well.
You can see the Accepted Payment Types the church is approved to use. If you are approved to use Credit Cards, you have the option to turn off American Express as an authorized credit card for donors.
You can also enable the Show External ID Field if you have a need to use an additional field for donor accounts. This is most often used when your contribution program assigns an ID in addition to an envelope number.
Make any changes you would like and click Save.
Edit Offset Processing Costs will be a visible option if you are authorized for credit card payments. Offset Processing Costs will allow you to set an optional increase in a donor’s credit card gift to offset the cost of those fees. A side sheet will open that you can select to Allow Donor to Offset Credit Card Fees.
The offset can be set as either a percentage of the gift or a flat fee. Selecting between these two options will give you an example of how the increase will calculate for the donor. Both the percentage and the flat fee can be adjusted to meet the needs of the church.
Make any needed changes and select Save. Once this fund is enabled, you will see it as an option to turn on within the individual funds.
Change Public Fund Layout allows the organization to choose between a list view or image view of the funds list when a donor is setting up a gift. The image view is the default layout and will showcase all the images used when setting up a fund. If the list view is preferred, select the list option and click Save.
Once you have updated all Settings, select Complete to Go Live with Online Giving.
Once you have reviewed all the online giving settings, click the Let’s Go Live button to begin accepting gifts. Once you select the button, there is no way to revert the selection, but you are able to continue to make changes to all the Funds and Settings.
Because this action is not reversible, you will have a confirmation prompt when you select Let’s Go Live. Select the Yes, Go Live button to confirm.
Once you have selected Yes, Go Live, you will be taken to your Giving Dashboard. At the top of this dashboard, you will see Your Public Fund URL and you will have an option to copy the link.
This is the URL that you will be using on your website and marketing material to direct donors to your online giving site. You can always select this link to view the Public Fund list to see what your donors will be seeing.
Adding Additional Funds
Click Funds and then New Online Fund to add any additional collections.
Enter Fund Name – this will be the name the donors see.
Select Continue and remaining fund setup is the same as the first fund.
To edit a Fund, click anywhere on the fund row to open the Fund Details.
From the fund Details, select the kebab in the top right to see the options within this Fund.
Make Fund Internal Only will only be visible if you also have Church Manager with OSV. If you have Church Manager and you would like this fund to be on your internal fund list but not visible in online giving you can select this option.
Make any necessary changes and select Save.
Archive/Delete – You will be able to Delete any Fund that has not been donated to yet, but once a donation has been received you cannot delete that fund and from that point on it can only be Archived. When you select Archive/Delete you will be taken to a confirmation page and you will need to type in Archive or the Fund Name to Delete to confirm you are aware that by archiving/deleting this fund you will remove it from the list of funds your donors will see and cancel any active gifts. You will see a notification in red of how many gifts will be canceled by completing this action. Once you have typed in the required info you will be able to select to the Archive Fund or Delete Fund button.
You can click All Funds in the upper left corner to go back to the funds page when finished.
Public Fund List Page
Click on Funds and then click on the icon beside Online Funds. This will take you to your Public Fund List Page and will appear as your donors will see the Funds. Highlight and copy the link listed at the top of this page to use on your website and printed material.
Copy URL – Click on Funds and find the fund that you want to copy the URL. Click on the kebab to the right of the fund and select Copy URL. The URL that will direct your donors directly to that fund is now in your clipboard. You can use this on your website, printed material and create a QR Code for donors to scan with a mobile device.
Reorder – Click the kebab to the right of any fund and select Reorder. Click on the two lines to the left of the fund name and hold down the mouse button as you drag the fund to the new location. Release the mouse and the fund will show in the new location. Once you have all the funds arranged how you would like them, click the purple Save Reorder. If you do not want to save the changes that you have made, click the Cancel button.
This will show you all the contributions given through a fund and will allow you to view the details of those contributions and to process a refund.
Click on Funds and find the fund you want to view. Click on the kebab to the right of the fund to reveal the menu of action items for that Fund. Click Details.
To see Details of any contribution, click the kebab to the right of the contribution and click View Details. You will see:
- Transaction Date
- Fund Name
- Payment Method Used
- Confirmation Number
To issue a refund, click the kebab menu to the right of the contribution and click Refund. You must select a refund reason from the drop-down and then click Submit.
The refund will process for the full amount and you will now see the line in yellow with the refund icon to the left. Hover over this icon to see more details of why the refund was issued.
