This article explains how to Add a New Family or Household to the OSV Directory and provides quick steps with a tutorial video at the end.
From the Directory Dashboard, click on ‘Add Family’
If you have Auto-Incrementing Enabled (more info) the next available envelope number will automatically appear. If you want to add a unique envelope number you can do so now. You can also add a family phone that will populate on the family card as well as for any individual member who does not have their own phone number. This is especially helpful when you are running a report with children’s names.
If you add an address that is already in the Directory, you will receive a notification. You can proceed if these families have the same address. More information can be found here.
Include all Demographic Information for the Head of Household. This is the person who will appear first in all communication, for married households this should be the husband.
If you have already entered a member of this same name (formal or informal), you will receive a notification warning you of the duplication.
After completing their demographic information you can add in their sacrament info by clicking on “Add Sacraments.”
For each sacrament select it from the drop-down, add the date, location, and additional notes. Each of these fields is optional, so include as much information as you know.
Continue clicking “Add Sacrament” until you’ve added all known Sacraments.
After filling in the Head of Household’s Information you can add additional members by selecting the “Add Additional Family Members” button.
When adding Additional Family Members, select “type” from the list. The person who is married to the Head of Household should be listed as a spouse. Anyone living in the household over the age of 18 should be listed as an Adult. Members under the age of 18 should be listed as children. This field will auto-populate to Adult or Child depending on the Date of Birth entered in the field before. Anyone under 18 will be listed as Child and over 18 as Adult. You can override the Adult status to Spouse or Other depending on your needs. Any member not listed as Spouse will not appear in the communication generated by the system or appear in the “Formal” or “Informal” Family Name.
Continue to add as many additional family members as live in the household then click on “Add” to begin adding another family or “Add and View Detail” to view this family’s information.
